Team Coordination

Attend the Race Director Info Session — July 24, 7:00 PM CST
Online AMA session with the Race Director. Get answers to any race-specific questions before race week.
Set up shared team info doc (names, phones, emergency contacts, travel plans)
Ragnar captain checklist requires this. Google Doc works — full name, email, phone, pace, travel plans, emergency contact for each runner.
Logistics
Figure out van situation
Rent, borrow, or buy — confirm van fits 6 runners + all gear comfortably
Register team on runragnar.com
Select Ultra team option (6 runners)
Find two designated drivers
Drivers move the van between exchanges while the team rests — must stay sober the whole race
Plan overnight sleep / rest strategy
With 6 runners each doing 6 legs, expect ~30 hrs on the road
Create shared gear checklist for each runner
Headlamps, reflective vests, layers — all required for night legs
Figure out van design
Ragnar tradition — decorate with team name, runner numbers, funny signs
Figure out magnets

Plan shower situation during the race
Some exchange zones have shower trucks — figure out if we're using them or doing a gym day pass near the course
Decide if we're staying the night in Duluth after the finish
Book hotel early if yes — Duluth fills up fast around race weekend
Recruit a support person (non-runner)
Someone to drive, hand off water, cheer, and help coordinate logistics so the runners can focus on running
Register 1 volunteer OR pay the $120 opt-out fee — deadline August 1
REQUIRED for full relay teams. Sign-up opens July 11 (captain gets email at midnight). No volunteer = team cannot race. Pay $120 at runragnar.com to opt out.
Confirm van type meets requirements
Must be a 12 or 15 passenger van or large SUV. No RVs, motorhomes, campers, trailers, buses, or limos. Must fit in a standard parking space (max 6'6" wide, 20' long).
Complete online check-in — opens race week
Opens the week of the race on the Ragnar website. Don't skip it — required before packet pickup.
Optional: pre-race packet pickup — Aug 6, 5:00–7:30 PM, Stillwater High School
Day before the race. Saves time on race morning. Both vans can check in together or separately. Requires all safety gear present.
Food & Drink
Decide on van snacks and meals for the full race
~30 hrs on the road — need real food, not just chips. PB&J, wraps, pasta, bananas, etc.
Figure out runner hydration — water, electrolytes, sports drinks
Each runner needs fluids at every exchange — especially on summer August legs
Plan overnight coffee / energy strategy
Night legs are brutal — coffee thermos, energy drinks, or caffeine chews for the 2–5am stretch
Plan cooler setup — size, ice, organization
Need a good cooler system to keep food and drinks cold for 30+ hrs
Decide what food to bring for support stops
When cheering on other runners at exchanges — bring stuff to share with the team
Every runner needs their own reusable water bottle or hydration pack — CUPLESS race
Ragnar provides zero cups on course. Water refill stations exist but you must bring your own container. No exceptions.
Pack body wipes for the van
Hot showers are available at Exchange 24 ($2 cash), but body wipes are essential for freshening up between legs throughout the race.
Pack anti-chafe balm for every runner
Running 6 legs over 30+ hours = serious chafing risk. Bodyglide or similar — apply before every leg.
Pack a van first aid kit
Blisters, twisted ankles, cuts — medic tents are on course but you want basics in the van: bandages, blister pads, KT tape, ibuprofen, Vaseline.

Get water guns for cheering runners on hot legs 💦
August in Minnesota = hot. Runners will love getting sprayed. Bring big ones.
Make signs and banners for exchange zones
The more ridiculous the better — other teams will love it too
Get cowbells, noisemakers, or a bluetooth speaker
Cheer your runners in loud — it genuinely helps them push harder at the end of a leg
Plan which exchange zones the support crew will cheer at
Not everyone can be at every exchange — coordinate where the biggest hype moments should be
Pack sunscreen, bug spray, and chairs for support crew
Standing at exchanges for hours in August — come prepared
Plan video recording and photos during the race
Assign someone to film handoffs, night legs, and the finish line — this is the content you'll want forever
Training
Share Ragnar leg map + distances with the full team
So everyone can train specifically for their assigned legs
Practice back-to-back runs (simulate multiple legs)
Ultra format means running tired — train for it
Do at least one night run before race day
Get comfortable running in the dark with a headlamp — required for night legs

Buy reflective safety vests for all 6 runners
Mandatory — must be worn during ALL night legs. Ragnar will check. One per runner, no exceptions.
Buy headlamps — minimum 2 per van, ideally one per runner
Mandatory for night legs. Get ones with a solid beam and fresh batteries race morning.
Buy taillights — minimum 2 per van
Mandatory for night legs — clipped to the back of the runner so cars can see them from behind.
Designate a van safety officer
Ragnar requires one person awake at all times to keep the driver alert and safety-focused. Assign this role before race day.
